Position: Legal Administrative Assistant

Job Responsibilities 

  • Prepare and format legal documents, such as deeds, wills, affidavits, and briefs, using computers and transcribing from handwritten notes, shorthand, and dictation.
  • Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage.
  • Manage the client's schedule by scheduling meetings, appointments, and conferences.
  • Maintain and organize legal records, knowing legal procedures and safeguarding confidential information.
  • Manage incoming mail, both physical and electronic, and coordinate information flow internally and externally.
  • Design and implement effective office procedures and routines to enhance overall efficiency.
  • Act as a point of contact for clients, addressing inquiries and providing updates on case progress.
  • Conduct legal research using online databases and other resources.
  • Assist with preparing invoices, tracking billable hours, and managing billing records.
  • Utilize legal software and technology to manage documents and track case developments.
  • Provide general administrative support, including answering phones, managing emails, and coordinating office supplies.
  • Stay updated on changes in legal regulations, procedures, and technologies through ongoing professional development.

 

Job Requirements 

  • Completion of Secondary school.
  • Minimum 1 year of experience or completion of one- or two-year college degree or other program for secretaries or legal secretaries.
  • Excellent verbal and written communications skills.
  • Exceptional organizational and analytical abilities to effectively manage legal documents and correspondence.
  • Proficiency in computer skills, including Microsoft Word, Excel, and Outlook, is essential for efficient handling of legal administrative tasks.
  • Excellent interpersonal skills & the ability to work in a team environment.
