Duties and Responsibilities:

  • Provide administrative support to consultant in managing calendar, calls and emails.
  • Oversee and co-ordinate department procedures; review, evaluate and suggest new ones
  • Maintain manual (physical paper-based) and digital information filing systems updating client files regularly with new information
  • Create, maintain, and implement checklist, forms, and templates as applicable for programs; update as changes arise
  • Prepare and edit documents and correspondence such as affidavits, contracts, and submission letters
  • Review and proofread documents, submissions and application forms for quality assurance and legal procedures
  • Conduct research on programs and related policies so as to draft application documents or explanation letters for applicants
  • Establish work priorities, manage workload, and ensure department meets deadlines
  • Organize and schedule appointments and meetings
  • Prepare and submit regularly scheduled reports
  • Always maintain extreme discretion and confidentiality
  • Coordinate the flow of information with other departments
  • Supervise and train new team members
  • Attend in-person meetings, conference calls and virtual meetings and take notes; transcribe upon completion
  • Liaise with staff and management to handle client requests and queries.
  • Maintain a direct and professional working relationship with clients in order to gather and prepare information and request supporting documents for applications
  • Respond to Client calls and emails that are redirected by receptionist
  • Coordinate communications with third party organizations
