You are welcome to join our team as we are hiring a full-time Administrative Assistant for our head office. As a member of our team, you will coordinate the day-to-day administrative needs of the organization, including enrollment support, report preparation, records management, etc.

Position: Administrative Assistant

Anticipated Start Date: As soon as possible

Salary: $25.00 per hour

 

Job Duties

  • Assist in daily operations such as collect parent information, accept new enrollments, maintain all child files, and maintain of documentation for accreditation.
  • Analyze and maintain enrollment data with a high degree of accuracy.
  • Make appointments and schedule meetings.
  • Sort and distribute incoming mail and deliveries.
  • Prepare, distribute, track, and file childcare contracts for newly enrolled families.
  • Respond to inquiries made over the phone, emails, in person and online.
  • Greet families/suppliers/visitors to the organization in a professional and friendly manner.
  • Prepare and record keeping of invoices, reports, and correspondence. 
  • Resolves customer complaints/issues with considerable tact and discretion; consult with and forward on any extraordinary problems to the Manager.
  • Maintain office equipment and order office supplies as needed.
  • Undertakes any other responsibilities assigned by the management.

 

Job Requirements

  • Completion of Secondary school.
  • Minimum 1 year of clerical/office administrative assistant work experience or completion of college or other program for administrative assistants/secretaries.
  • Excellent communication skills.
  • Proficiency in Microsoft Office including Excel, Word, and Power Point.
  • Excellent organizational skills: ability to multi-task, set priorities, and manage workflow effectively.
  • Detail oriented and well organized.
  • Positive and co-operative attitude.
