About us

New Creations Okanagan Property Division is a local franchise that repairs and restores damaged surfaces and items to their former glory. We use specialized repair and restoration techniques to solve a wide range of damage-related problems for our customers and clients.

About the role

We’re growing, and you would be our first employee. You’ll run the day-to-day administration and the books, working closely with the owner. Expect about 60% bookkeeping and 40% administration. You’ll have real ownership of the work and opportunities to help shape the systems and processes we use.

We’re looking for someone with hands-on bookkeeping experience who can work independently and doesn’t need close supervision.

Why join us

  • Flexible scheduling within a Monday to Friday, 8 to 5 window
  • Direct impact on the growth of the business
  • Build a local franchise from the ground up as our first employee
  • Room to grow to full-time hours
  • Laptop and software licence provided

Bookkeeping and financial administration (about 60%)

  • Maintain accurate books in QuickBooks Online
  • Process accounts payable and receivable, and follow up on overdue customer invoices
  • Reconcile bank and credit card accounts and categorize transactions
  • Prepare financial reports and supporting documents for management
  • Assist with GST and PST reporting and year-end preparation for our accountant
  • Keep all financial and business information confidential

Administration and operations (about 40%)

  • Handle incoming calls, emails and customer inquiries, including follow-up
  • Schedule repair appointments, site visits and follow-ups
  • Prepare estimates, work orders and invoices
  • Manage company calendars and meetings
  • Keep electronic files and business records organized
  • Order supplies and coordinate with vendors
  • Help develop and improve administrative processes
  • Support HR administration as the team grows
  • Other administrative duties as assigned

Required

  • 2 years of recent QuickBooks Online experience, including bank reconciliations and accounts payable and receivable
  • Previous bookkeeping, office administration or similar experience
  • Solid understanding of bookkeeping principles
  • Proficiency with Microsoft Outlook, Excel and Word
  • Strong organization, time management and attention to detail
  • Ability to prioritize and work independently from home
  • Clear written and verbal communication
  • Professionalism, honesty and discretion with confidential information

Preferred (we’re happy to teach)

  • Experience with PST (eTaxBC) and GST payments
  • Experience with WorkSafeBC
  • Small business experience
  • Experience with customer service and collections

Work environment

  • This role is primarily remote. You’ll need a private space to work where our business and customer information can’t be seen or overheard by others. Coffee shops and other public spaces are not suitable for this role.
  • You’ll need reliable internet access and the ability to join video meetings and phone calls.
  • Onboarding and training are in person at our West Kelowna office. Expect about 2 to 3 sessions per week for the first two weeks, then as needed, depending on your experience and how quickly you pick things up. Because of this, we’re looking for someone within commuting distance of West Kelowna. Training and meetings during scheduled hours are paid time.

Hiring process

  1. Apply with your resume and cover letter
  2. Phone screen
  3. In-person interview at our West Kelowna office
  4. Reference checks for finalists. Please be prepared to provide 2 to 3 professional references
