1 Who we are
The BC Aboriginal Child Care Society (BCACCS) is a Centre of Excellence for Indigenous early
learning and child care (ELCC). BCACCS undertakes research, develops training, and resources,
and provides services and leadership to support Indigenous communities throughout BC to
create high quality, culturally respectful, spiritually enriching community child care services that
are based in the child’s culture, language, and history.
The work this role carries
BCACCS is seeking an IELCC Contract Administrator to support the Society’s contract
management process. Reporting to the IELCC Program Steward (Manager), this role helps ensure
Indigenous Early Learning and Child Care (IELCC) funding recipients complete financial contract
and reporting requirements promptly and consistently.
The role and how you will contribute
Funding Operations and Agreements
• Perform accurate and timely funding operations, including completing final reviews of
funding applications.
• Prepare, submit and monitor funding recommendations to the BCACCS Board of
Directors.
• Draft funding agreements, process signed submissions, schedule payments, establish and
process reporting requirements, and renew funding applications.
• Track all funding agreements throughout the signatory process and follow up as required.
Recipient Relationships and Reporting
• Work with Regional Community Facilitators and the IELCC program leads to liaise with
funding recipients about funding requirements and timelines.
• Track funding recipient compliance and report regularly to the IELCC Program Steward
(Manager).
• Support the IELCC Program Manager, Regional Community Facilitators, and funding
recipients with funding agreement financial reporting requirements and processes.
Team Support and Communications
• Provide day-to-day administrative support to the IELCC Program Steward (Manager) and
team.
Triage incoming information and respond to email and telephone calls, or forward them
to the appropriate staff.
Records and Ongoing Learning
• Maintain a well-organized funding database, digital filing system, and physical filing
system at the provincial office and perform data and file clean-up as necessary.
• Participate in training, professional development, and ongoing skill development,
including training for the IELCC funding database and Microsoft suite, as needed.
What you bring: Experience Knowledge and Ways of Being
• At least two years of experience in contract management and/or database
administration.
• Experience working with First Nations in BC.
• Knowledge of BC First Nations culture, history and issues, together with cultural
awareness and sensitivity.
• Proven success in a collaborative, team-oriented environment, with an approachable and
professional attitude.
• Ability to support a high-performing team in a demanding environment by taking
initiative, prioritizing needs, and meeting tight deadlines.
• Professional-level verbal and written communication skills.
• Strong analytical skills and the ability to develop creative solutions.
• Sound judgment, the ability to prioritize your workload, and the ability to work with
minimal supervision.
Computer and Digital Skills
• Advanced word processing skills in Microsoft Word.
• Advanced Excel skills, including manipulating data, creating data visualizations,
formatting, and formulas.
• Experience using a database.
• Advanced skills with Outlook, OneDrive, SharePoint, Teams and Zoom.
• Intermediate Adobe Acrobat Reader/Writer skills, including preparing documents for e-
signature and creating fillable PDFs.
• Proficient digital file management.
Additional gifts and strengths you may bring
• A diploma or bachelor’s degree in Business, Computer Science or a related field.
• Knowledge of the early education sector.
• Experience with Blackbaud database products.
How the role is practiced day to day
• Hybrid work performed remotely from your secure and private home-based office, and
once or twice per week at the West Vancouver office.
• Follows standard working hours of Monday through Friday, 9:00 a.m. and 5:00 p.m.
• Relies on you having a valid driver’s license, an operational vehicle, and willingness to
travel occasionally.
• Carries out the role in alignment with BCACCS’ Code of Conduct, and is willing to
complete a criminal record check to support a safe and trusted workspace.
