POSITION SUMMARY:

This full-time position is based in Edmonton, Alberta.

Alberta Native Friendship Centres Association (ANFCA) is seeking a qualified Bookkeeper. The candidate will work closely with the CFO to maintain financial accountability requirements of ANFCA.

 

CANDIDATE PROFILE:

The successful candidate will have the following:

  • Post-secondary degree, diploma, or certificate in Accounting, Finance, or Business Management.
  • Demonstrated current experience in accounting (a minimum of five years); and experience that relates to the duties and responsibilities specified.

 

KEY ACCOUNTABILITIES:

  • ·        Accounting:
    • o   Accounts Receivable, Accounts Payable, General Ledger, and reconciliations, assist with budget tracking, ratio analysis, and audit preparation.
    • o   Support compliance and regulatory requirements.
    • o   Maintain internal controls.
  • Reporting:
    • Prepare monthly and quarterly financial reports.
    • Assist and communicate with Friendship Centres for reporting and budgeting.
    • Keep track of reporting timelines.
  • Contract Documents:
    • Assist in creation of contract documents pertinent to funding (i.e. contribution agreements, payment letters, updated cashflow templates, etc.).
    • Develop and maintain efficient and effective recordkeeping systems and procedures.
  • Other Duties:
    • Other duties as assigned by the CEO, COO, and CFO.

KEY ACCOUNTABILITIES: PAYROLL:

The Bookkeeper will have primary responsibility for the day-to-day administration and processing of payroll for approximately 20 employees. The Bookkeeper will independently manage the complete payroll cycle, ensuring payroll is accurate, timely, compliant and properly recorded.

Responsibilities include:

  • Process semi-monthly payroll accurately and within established deadlines.
  • Maintain accurate employee payroll records, including new hires, terminations, salary changes, vacation, leaves and other payroll-related information.
  • Process regular and special payroll adjustments, including statutory holiday pay, vacation pay, allowances, deductions and other earnings.
  • Calculate and process statutory payroll deductions, including CPP, EI and income tax.
  • Administer employee benefits and other payroll deductions and ensure accurate remittances.
  • Prepare for the CFO to submit: payroll remittances to the Canada Revenue Agency (CRA) and other applicable agencies within required deadlines.
  • Maintain accurate vacation, wellness and other applicable leave balances.
  • Prepare Records of Employment (ROEs) and other required payroll documentation.
  • Prepare and distribute employee pay statements and annual tax forms, including T4s and T4As, as applicable.
  • Respond to employee inquiries regarding payroll, deductions, vacation balances, benefits and other payroll matters.
  • Maintain strict confidentiality and security of employee payroll and personal information.
  • Reconcile payroll reports and payroll-related accounts and ensure payroll records agree with the general ledger.
  • Prepare payroll journal entries and provide payroll information required for financial reporting.
  • Process payroll using Paymate Harmony and ensure payroll information integrates accurately with Sage Intacct.
  • Reconcile payroll information between Paymate Harmony and Sage Intacct.
  • Liaise with payroll software/provider support and resolve payroll processing and integration issues as required.
  • Prepare payroll reports and information for CFO, management and auditors, as required.
  • Complete year-end payroll reconciliation and reporting, including T4/T4A preparation and related filings.
  • Ensure payroll documentation is properly maintained in accordance with ANFCA policies and record-retention requirements.
  • Stay current with applicable federal and Alberta employment standards, CRA payroll requirements and other relevant payroll legislation.
  • Independently manage the complete payroll cycle, including payroll preparation, review, processing, remittances, reconciliations, reporting and employee inquiries, without reliance on the COO and CFO for routine payroll administration.

 

CORE COMPETENCIES AND ATTRIBUTES:

  • Software Usage Proficiency: Intermediate to advanced Microsoft Office capability including Excel, Word, Teams and digital meeting platforms.
  • Possess at least five years’ accounting / financial knowledge, terminology and how to use accounting software (Sage Intacct).
  • Possess a working knowledge of financial cashflows, budgeting, forecasting and other financial documents such as income statements and balance sheets.
  • Ability to gather and research relevant data, compile information, and prepare reports.
  • Organizational Skills: Has strong organization and process skills; meets deadlines; is able to prioritize a diverse workload and manage multiple activities at once; has keen attention to detail, accuracy and quality.
  • Self-motivated and collaborative: Capable of demonstrating independence and positive team collaboration.
  • Communication Skills: An excellent communicator with strong written and verbal skills.
  • Analytical and Decision-Making Skills: Strong conceptual and analytical skills, with the ability to recognize as well as assess emerging issues and situations objectively, think creatively outside the box, and make sound decisions; is decisive and accountable.
  • Knowledge of urban Indigenous Friendship Centre Movement, structure, and processes will be considered an asset.

 

PAYROLL COMPETENCIES AND ATTRIBUTES:

  • Previous experience independently processing payroll in a Canadian organization.
  • Strong knowledge of Canadian and Alberta payroll requirements, including CRA requirements, CPP, EI, income tax, taxable benefits, vacation pay, statutory holiday pay and year-end reporting.
  • Experience with payroll and accounting software; experience with Paymate Harmony and Sage Intacct is considered an asset.
  • Payroll Compliance Practitioner (PCP) designation through the National Payroll Institute (NPI) is considered an asset.
  • The successful candidate must maintain active membership with the National Payroll Institute (NPI) throughout their employment with ANFCA.
  • Commitment to maintaining current payroll knowledge and completing relevant professional development as required.
  • Strong attention to detail and ability to meet recurring payroll deadlines.
  • Ability to handle confidential employee and financial information with discretion and professionalism.
