Main Duties
The Administrative Assistant will perform some or all of the following duties:
Office Administration & Documentation
- Prepare, key in, edit, and proofread correspondence, invoices, presentations, brochures, publications, reports, and related documents
- Open and distribute incoming regular and electronic mail and coordinate the flow of information internally and with other departments
- Set up and maintain manual and computerized filing systems
- Determine and establish office procedures
Communication & Coordination
- Answer telephone and electronic inquiries and relay messages professionally
- Schedule and confirm appointments and meetings for the employer
- Greet visitors, determine the nature of their business, and direct them to the appropriate person
- Record and prepare minutes of meetings
Operational Support
- Order office supplies and maintain inventory
- Arrange travel schedules and make reservations
- Compile data, statistics, and other information to support research activities
- May supervise and train office staff in procedures and in the use of current software
- May organize conferences and company events
Employment Requirements
- Completion of secondary school is usually required
- Completion of a one‑ or two‑year college program for administrative assistants or secretaries
OR
- Previous clerical experience is required
- Strong computer skills (MS Office, email, scheduling tools)
- Excellent communication, organization, and time‑management abilities
Required Skills
- Proficiency with basic computer applications such as MS Office and electronic filing systems
- Attention to detail when preparing, editing, and maintaining documents
- Ability to provide professional customer service and work well with others
- Reliable problem‑solving skills and the ability to follow established office procedure
